Until recently, the insurance company Achmea was operating with all-powerful and outdated IT systems to support an insurance product for homeowners' associations (VvE’s). Until it was time for a transformation. SAP, a major brand of Enterprise Resource Planning software, would henceforth be the foundation for the new IT landscape. In this, all IT systems are interconnected. A nice thought, but that meant a shift from old working practices to new working practices. And change is not always easy for the employees who have to deal with it.

Achmea faced the challenge of transforming a complex IT landscape into a new SAP system. For nearly 1000 employees, it was difficult to understand the structure and interdependencies of the system. Traditional documentation and presentations provided insufficient insight, leading to risks of misunderstandings and slow adoption of the new IT landscape.

The question was clear: how do you make a complex IT architecture understandable and visually accessible for employees, so that everyone understands how the system works and why it is important?

C4Real developed an immersive VR solution: the virtual Metropolis. In this VR environment, the complete IT landscape of Achmea has been transformed into an interactive city, where buildings, roads, and stations symbolize the various systems and connections.

Employees can walk around with a VR headset and explore each part of the system through animations and interactive explanations. This makes a complex IT architecture visual and understandable, leading to better insight, faster adoption, and greater engagement in the digital transformation process.

The process began with the translation of Achmea's complex IT landscape into an interactive VR city: Metropolis. Just like in a real city, all buildings and roads in Metropolis are interconnected — just like the various IT systems and their dependencies.

When employees put on the VR headset, they are welcomed to Metropolis. Each IT component is represented as a recognizable building: for example, the police station symbolizes the IT fraud center, highway interchanges represent the APIs that connect systems, and the central station stands for the customer portal. In this way, the complex system becomes concrete and visually accessible.

The story of Metropolis is fully interactive and narrative. Within the city, all buildings are equipped with interactive points that explain the functioning of each IT component. Employees can move freely with the VR controllers, view animations and videos, and discover how each system contributes to the bigger picture.

The deployment of the VR solution delivered directly measurable results. Employees were able to grasp the new IT landscape after just one day, significantly accelerating the onboarding process. Thanks to this better understanding, the implementation went smoothly; the system went live without errors, something that would not have been the case without the VR experience.

Furthermore, Metropolis generated unprecedented engagement within the organisation. Over 300 employees explored the virtual city, a number that far exceeded the usual reach of internal projects. The creative and effective application of VR was also recognised outside of Achmea: the case won multiple awards, including a prestigious AVA award.

This experience shows that VR IT visualisation and immersive training not only clarify complex systems but also stimulate engagement and accelerate digital transformation.
