Why visualisations are essential in services and government

Visualisations make abstract change understandable for everyone

Service providers and government organisations face a recurring communication problem. The systems, processes and policy changes they implement are too complex to convey with text alone. And the target group they need to reach is too diverse to serve with a single format.

C4Real makes that complexity manageable. For Achmea, we built an interactive VR city in which the organisation's entire IT landscape was made visible as a city with buildings, roads and stations. Almost 1,000 employees could literally walk through the system. Onboarding time went from weeks to hours. For OOMT, we developed a VR experience with which garage owners stepped into the garage of the future, long before it was a reality. The result: almost the entire mobility sector did the experience, and concrete discussions about transformation got underway. At C4Real, we use VR experiences, 3D animations and interactive visualisations to make complex systems, change processes and policies understandable for the people they affect. A VR experience allows employees or stakeholders to experience a new situation for themselves, before that situation actually exists. A 3D animation explains a process or system step by step, tailored to the target audience's level of knowledge. An interactive visualisation gives users the opportunity to navigate through information themselves and discover what is relevant at their own pace. How does a visualisation create buy-in among employees during a major organisational change?

Organisational change rarely fails due to a poor plan. It fails because employees do not understand the necessity, cannot envision the new situation, or do not see the connection between their own work and the bigger picture. Achmea faced exactly that problem during the transition to a new SAP system. For nearly 1,000 employees, the complex IT landscape was too abstract to comprehend through documentation and presentations. C4Real built an interactive VR city, named Metropolis, in which the entire IT landscape was transformed into buildings, roads, and stations that employees could walk through. The result: better understanding, faster adoption, and greater engagement with the transformation process.

How do you reach a large and diverse audience with a complex message about sector change?

When a change affects an entire sector, the communication challenge is greater than within an internal organisation. The audience is diverse, the urgency is not felt by everyone, and traditional communication tools such as leaflets, newsletters, and information meetings often only reach those who are already convinced. OOMT wanted to make the entire mobility sector aware of the electrification transition: 12,000 employers and 80,000 employees. C4Real developed a VR experience that allowed garage owners to step into the garage of the future long before it became a reality. The enthusiasm was so great that almost the entire sector took part in the experience. This success led directly to a second VR experience for the truck industry.

When in a change process does an organisation use visual communication most effectively?

Visualisations work at any point in a change process, but the impact differs per phase. At the start of a process, when the need for change is not yet widely felt, a visualisation makes the future situation concrete and tangible. This creates urgency without a decision having to be made yet. During implementation, when employees need to learn the new system or way of working, an interactive visualisation or VR experience significantly accelerates onboarding. After the launch, the same visualisation serves as a consistent explanation for new employees, partners and stakeholders who join at a later stage.

How does a visualisation project at C4Real work?

C4Real works in two phases. In the first phase, concept and design, we translate the communication issue into a visual approach. We determine which format works best, which message is central, and how the target group can best be reached. At the end of this phase, C4Real delivers a concrete concept for the client to feedback on. Only then does the second phase begin: production.
